Imagine if you could be reimbursed for actual things that your club needs? Zoom account? Venue rentals? Open house refreshments? Advertising? Badges? Ribbons? Rewards?

The District Bucks program will help your club to achieve its Club Success plan goals - while rewarding your club for products/services they actually need.

What are District Bucks?

District Bucks are funds placed in an account that the district runs for your club. See the leaderboard here: 

Incentive Tracker Leaderboard

Every time the club earns District Bucks, the money goes into the club’s District Bucks account. A club can use the money in the account to be reimbursed for specific club expenses (as described in #4).

How can Clubs earn District Bucks?

Clubs can earn District Bucks by completing various incentives outlined in the program. ​ Examples of these incentives are provided in the document and can also be accessed at District Bucks Incentive List.

  • Submit your Club Success Plan by September 15 = $50 CAD (with photo of your team working on the plan posted on our District 21 Facebook page).
  • 7/7 club officers trained = $25 CAD
  • Open house (for clubs 15 or less members) = $50 CAD
  • Renew for 8 members by September 8 = $25 CAD
  • Renew 80% of your base members by September 15 = $25 CAD
  • Speechcraft – run the program and get reimbursed the cost of the digital kits. See Speechcraft tool kit for more information.

District Bucks can be used for the following:

  • Meeting materials, photocopies ​
  • Speechcraft program kits ($50 USD/5 participants) ​
  • Food and beverages for club meetings ​
  • Audio visual equipment (e.g., webcam, microphone) ​
  • Zoom accounts for online and hybrid meetings ​
  • Meeting space venue rental ​
  • Promotion (e.g., Meetup, Facebook ads, flyers) ​
  • Recognition items (e.g., pins, badges, ribbons, items from the Toastmasters International store) ​

District Bucks cannot be used for the following:

  • Pathways educational materials ​
  • Parties and social gatherings ​
  • Alcohol
  • Scholarships
  • Payment of dues for individuals ​
  • Donation of money or goods to outside causes or individuals ​

The reimbursement process for District Bucks works as follows:

  1. Earn District Bucks: Clubs earn District Bucks by completing District Bucks incentives. ​
  2. Submit Expenses: The Club Treasurer submits valid expenses through Concur. ​
  3. Reimbursement: The club can be reimbursed up to the balance in its District Bucks account. ​Your Club Treasurer will need to connect to SAP Concur and submit the club's bank account details, along with the receipts to be reimbursed. For assistance, contact Louisa Davis (D21 District Director).
  4. Training: Club Treasurer training will provide guidance on how to claim reimbursement for District Bucks. 

Some other notes:

  • Incentives are the tasks to complete in order to earn District Bucks. 
  • Incentive Tracker is the program used to keep track of completed incentive tasks and how much District Bucks your club has earned. 
  • District Bucks is how much money your club has to spend on authorized expenses. 
  • Concur is the system that Toastmasters uses to reimburse authorized expenses to your club's bank account.
  • All District bucks are listed in Canadian dollars and will expire on June 30, 2026 if not claimed by your Club Treasurer.
